Privacy Policy

TermFlo (“the App”), operated by Futurist IP, an Ontario, Canada corporation (“we”, “us”), helps Shopify merchants manage wholesale buyer applications, B2B company accounts, payment terms, credit limits, and receivables. This policy describes what data the App processes, why, and how it is protected.

Data we process

  • Merchant data: store domain, plan, settings, and an encrypted API access token required to operate the App.
  • Wholesale applicant data submitted through the merchant’s application form: company name, contact name, business email, phone, business address, tax identifiers, and any details the applicant provides.
  • B2B customer and order data from the merchant’s Shopify store: company contacts (name, email, phone, address) and orders with payment terms (amounts, due dates, payment status) — used to power receivables features.

Why we process it

  • Creating and managing B2B company records the merchant approves
  • Enforcing merchant-configured credit limits at checkout
  • Receivables dashboards: outstanding balances and aging
  • Account statements and payment reminders sent on the merchant’s behalf

We process data only to provide these features to the merchant. We do not sell data, use it for advertising, or use it to train machine-learning models.

How it’s protected

  • Encryption in transit (TLS) and at rest; API credentials are additionally encrypted at the application layer (AES-256-GCM)
  • Data minimization: we request only the API scopes the features require
  • Access limited to server-side systems; all provisioning and credit actions are audit-logged

Retention & deletion

  • Customer redaction requests from Shopify are honored automatically (fields are redacted)
  • When a merchant uninstalls, access tokens are destroyed immediately; on Shopify’s shop-redaction webhook (~48h later) all remaining store data is deleted

Service providers

We use trusted third-party service providers to operate the App, covering application hosting, database and file storage, and transactional email. They process data only as needed to provide these features, under confidentiality and purpose limitations.
